Terms of Business

Travel Organising

Travel Organising is our principal service. When you request Travel Organising services we explain our fees, take payment and arrange a consultation. We charge a fee for this consultation and for providing your travel arrangements proposal. The cost of the consultation and preparation of travel arrangement recommendations varies by the destination you have pre-selected. These charges may change with time; please consult our Travel Organising Fees list for our up-to-date charges.

Following payment and the consultation we will research and prepare bespoke travel arrangements. As part of this report we will inform you of conditions specific to your choices and/or those of the components’ suppliers. We will provide you with information on visa and travel regulations at your destination. Travel Organising fees may vary for customers who are older than our insurers’ normal limits or who are travelling for reasons that they deem riskier than average. Payments for Travel Arrangements

To proceed with your travel arrangements you pay a deposit. The deposit varies but is a minimum of 15% of the total estimated cost of your travel arrangements. In some circumstances balance payments of the entire outstanding balance or of individual components will be due on booking. You will be informed if this is the case in your travel arrangement recommendations. In the event that your arrangements require full payment later you will be informed in advance of the dates your balance payments are due. If the balance payment is not received by the date indicated on your travel arrangements invoice we reserve the right to cancel your arrangements and retain your deposit.

Changes to Travel Arrangements

It is your responsibility to provide the correct names of travellers and ensure they are legally permitted to travel to each destination and hold appropriate documentation. Under normal circumstances, once the booking has been made you have 7 days to confirm that your travel arrangements are correct and accurate. During this period we will attempt to change any travel arrangement we can. If any component is non-changeable you will have been informed in your travel arrangement recommendations. After the 7-day period we will make changes if we can, but you may incur additional charges. In some instances travel components which are non-refundable at point of purchase will not allow any changes or modifications even to names. If this applies to any travel component we will inform you. After paying your balance payment we will only be able to change your confirmed travel arrangements if permitted by the supplier of each component. We will not charge for making changes if the supplier does not charge for the changes.

Variations and Exceptions

Due to the nature of bespoke travel arrangements, there are inevitably aspects of individual travel components that are exceptions to rules and regulations. We will inform you at all stages of any variations or exceptions and explain the implications of these exceptions.

Cancellations

You may cancel your arrangements at any time. We do not charge any penalty for cancellation but there may be heavy financial penalties charged by the suppliers of the travel components for doing so. Such penalties may vary depending on the supplier of the individual components and will be specified in your travel arrangement proposal. If we, or one of our suppliers, cancel your arrangements following confirmation and you have paid your deposit, we will refund both your deposit and your original consultation and travel arrangement fee. If we or a supplier cancel only a single component, we will endeavour to find a suitable replacement component at no extra charge to you. If we cannot find a replacement that meets your needs your holiday will be cancelled and your deposit and fee will be refunded. If we cancel your travel arrangements we will not pay compensation beyond the refund of the payments already made and a refund of the travel organising fee. In the event of certain unforeseeable circumstances we will not pay you compensation if we have to cancel or change your travel arrangements in any way.

Travel Arrangements Rebate

To provide travel arrangements that are uniquely suited to your needs we charge a fee for the consultation and proposal of your travel arrangements. This permits us to meet your needs without being influenced by the travel industry commission structure when choosing the best, most appropriate components. If you do use components that pay commissions, we will rebate the amount of the commissions to you in the form of a credit for future travel. The credit is valid for 24 months after your return.
